Making sense of a complex workflow (with multiple players and systems)

This project was the outcome of my first months at McKesson. Switching to a fully remote work environment with no access to site visits or in-person research while needing to understand the complexities of oncology clinical workflows, I took on the challenge of mapping the intricacies of various patient appointment types.

Through this exercise, I was challenged with….

  • Understanding the various visit types of an oncology patient

  • Understanding the interdependencies on the different clinical roles during these visits

  • Understanding the various systems and softwares at play

  • Understanding where interoperability between systems succeeds and fails

  • Understanding potential interruptions to the workflow

  • Understanding workarounds

The Players:

Oncology Players

There are multiple roles within the oncology space that work together to provide patients with the greatest possible care.

The Systems:

There are various systems at use within an oncology clinic, each with there own set of interoperability challenges, often leading to rework and workarounds.

 
 

Initial Visit Breakdown

 

Before the Visit: Before a cancer patient arrives at an oncology clinic for their initial appointment, they must first be referred by a specialist, scheduled, have the appropriate documentation and scans sent, etc.

During the Visit: Once a patient arrives for their initial visit, they engage with multiple players in a number of locations inside the clinic.

After the Visit: Once the patient completes their visit, their oncologist and clinical staff must close the loop on various tasks associated with that patient.

 

Outcome / Use

  • A single reference point for our Desktop Team to use to better understand where their projects fit into the clinical workflow.

  • A training tool for new hires with limited access to site visits.

  • A baseline to compare variations in these workflows across clinics of various sizes and complexities.
